Who is responsible for your information?

Information collected through an enquiry

The enquiry form collects your name, email address, an optional mobile number, an optional brief message, and your privacy acknowledgement. It also records whether your enquiry concerns a general question, introductory call or assessment. If you add a message, the form records your separate consent for any mental or physical health information you choose to include.

A random request identifier and limited request information are processed to deliver the enquiry, prevent abuse and avoid duplicate delivery. Please do not use the form for detailed health history or urgent-risk information. Enquiries are not monitored as an emergency or crisis service.

Why this information is used

Your details are used to respond to your enquiry by email or, if you provide a mobile number, by phone; understand what you would like to arrange; and take steps at your request before any service agreement. The lawful basis is UK GDPR Article 6(1)(b), steps before entering into a contract. For general questions and service security, the lawful basis is Article 6(1)(f), legitimate interests in operating, protecting and responding through the enquiry service.

Mental or physical health information is special-category data. If you voluntarily include it in the optional message, it is used only to respond to your enquiry on the basis of your explicit consent under UK GDPR Article 9(2)(a). You can withdraw that consent at any time by emailing enquiries@mindwelltherapy.co.uk. Withdrawal does not affect processing that took place before it was withdrawn.

Who handles the information?

Cloudflare provides website hosting and security, Resend provides enquiry email delivery, and Microsoft 365 provides the practice mailbox. Enquiry information is not sold or used for marketing. These providers may keep limited backup, recovery or security records under their own retention schedules.

Processing outside the UK

Cloudflare, Resend or Microsoft 365 may process or store information outside the UK as part of providing their services. Where UK data-protection law requires safeguards for an international transfer, MindWell Therapy relies on the appropriate contractual or other legal safeguards made available for that transfer.

How long enquiry information is kept

MindWell Therapy deletes active correspondence for an enquiry that does not become a client relationship within six months after the last substantive contact, unless it must be retained for a legal reason.

If you become a client, relevant correspondence may become part of a separate client or clinical record, which is governed by the practice’s separate record-keeping information.

Your rights

Depending on the circumstances, you may have rights to access, correct or erase your information, restrict or object to processing, or receive information in a portable format. You may also withdraw consent where processing relies on consent. Contact enquiries@mindwelltherapy.co.uk to make a request.

You can complain to the Information Commissioner’s Office if you are concerned about how your information has been used.

Automated decisions and website tracking

No automated decision-making or profiling is used for enquiries. This website adds no analytics, advertising or marketing trackers. See the cookie information for more details.
